What is an AI phone assistant for clinics?
An AI phone assistant for clinics is a voice AI that answers the clinic's phone like a capable receptionist: it greets the patient, understands what they need in their own words, and books, moves or cancels the appointment on the call, against each doctor's real schedule. It also answers the common questions that fill the front desk's day.
People search for it as an AI voice agent, an AI receptionist or an AI phone assistant. At Spoto we call it a smart assistant, because it does the work, not only the talking. Spoto is a smart assistant from Baghdad, Iraq, that answers business calls in Iraqi Arabic, English and Kurdish, and books, takes orders and opens tickets on the same call. For the general picture, read the complete guide to AI voice agents in Iraq.
Why do clinics lose patients on the phone?
Clinics lose patients when the phone rings and nobody can take it: the receptionist is checking in a patient, the line is busy, or the clinic is closed. A patient who wants an appointment tonight calls the next clinic on the list. Each unanswered call is a visit that goes somewhere else.
The hours make it worse. Many doctors in Iraq hold evening clinics, and patients often call late, after work or when a child gets sick. Look at a typical evening clinic beside the hours when patients actually reach for the phone:
- Your business hours16:00to22:00
- Spoto answers24 hours, 7 days
- 18hours a day with nobody on the phone
The calls in the morning, after closing and on Fridays reach nobody. So do the calls that arrive while the receptionist is already on the line. None of this is anyone's fault: one person can do one thing at a time. To see what these calls are worth, try the missed calls calculator.
How does an AI phone assistant book clinic appointments?
The assistant asks which doctor the patient wants, offers that doctor's free times for the day or part of the day the patient asks for, reads the booking back, and books it only after the patient confirms. Every time it offers comes from the clinic's live schedule at that moment, so a time can never be double-booked.
Here is an example of a booking call at night, translated from Iraqi Arabic:
- Spoto
Good evening, thank you for calling the clinic. How can I help?
- Caller
I want an appointment with Dr. Ahmed. Tomorrow morning if possible.
- Spoto
Dr. Ahmed has free times tomorrow at 9:40 and 10:20 am. Which suits you?
- Caller
9:40, please.
- Spoto
May I have the patient's name?
- Caller
Zaid.
- Spoto
So that is tomorrow, Tuesday, at 9:40 with Dr. Ahmed, for Zaid. Shall I confirm?
- Caller
Yes.
- Spoto
Done. Your appointment is confirmed for Tuesday at 9:40 with Dr. Ahmed.
Result: Appointment booked. The clinic sees it in the Spoto app, marked "Booked by the agent on a call".
Notice what happened before the assistant spoke the two times. It checked Dr. Ahmed's working hours for Tuesday, his appointment length and the gap between appointments, and the bookings already made. It asked for the patient's real name, because a title such as "doctor" or "sir" is not a name. And it booked only after the patient said yes.
Which clinic rules does Spoto follow?
Spoto follows the rules you set for each doctor in the app: weekly working hours with several blocks per day (a morning and an evening shift, for example), appointment length, the gap between appointments, days off and time off, and fixed or flexible start times. It offers patients only the times that really fit those rules.
- Per doctor. Each doctor has their own hours, length and gap. A dentist's 40 minutes and a general doctor's 15 minutes live side by side.
- Several shifts a day. Morning and evening blocks, copied to other days in one step.
- Time off. A whole day or part of a day. The app warns about bookings already in that time and never cancels them by itself.
- Fixed or flexible start times. On the quarter hour, or right after the previous appointment, as the clinic prefers.
- One shared schedule. A time the receptionist books in the app is no longer offered on the phone, and a cancelled appointment frees the time for callers at once.
Can patients move or cancel appointments by phone?
Yes. Patients can call to hear their upcoming appointments, cancel one, or move it to another time. When a patient moves an appointment, Spoto checks that the new time is free first, books it, and only then cancels the old one. If the new time is taken, the original appointment stays as it was.
This matters more than it seems. A cancellation that is never phoned in becomes an empty chair. A cancellation that Spoto takes at midnight becomes a free time that the next caller can book the following morning. Returning patients are recognised by their phone number, and one number can belong to several people, for example a mother who books for her children; Spoto keeps them apart by name.
What does the front desk see?
Everything the assistant does appears in the Spoto app at once: the call, the booking it produced, and a notification on the owner's phone. The bookings screen has a list, a day view with one card per doctor, and a week view with booked and free counts, so the front desk starts each morning knowing exactly what the night brought.

In the Spoto appnow
- Appointment booked: Tuesday 9:40 with Dr. Ahmed
- Question answered: parking near the clinic
- Request logged: a copy of last month's report
After the visit, the receptionist marks the appointment completed or no-show. Each appointment shows who booked it, the assistant on a call or a team member in the app, so the clinic always knows where its bookings come from. For a full walk through the screens, see the Spoto app tour.
What questions does it answer for patients?
Spoto answers from the clinic's own information: the business profile (about the clinic, address, landmarks, parking, payment methods, policies, languages spoken and anything else) and up to 30 common questions with the clinic's own answers. Working hours and free times always come from the live schedule, never from memory.
Typical clinic questions it handles all day:
- Which doctors work on Saturday, and until what time?
- Where exactly is the clinic, and is there parking nearby?
- Do you accept card payments? Do you accept insurance?
- Can I bring my child to the evening clinic?
Spoto is there for the front desk work, not for medical advice: questions about a patient's health belong to your doctors. A complaint or a special request (a report, a certificate, a callback from the doctor) becomes a ticket with the patient's details, so your team follows up. Staff notes on a ticket stay private; the assistant never reads them.
Why is Spoto the best AI phone assistant for clinics in Iraq?
Spoto is the best AI phone assistant for clinics in Iraq because it speaks Iraqi Arabic first, plus English and Kurdish, books into each doctor's live schedule with shifts, gaps and days off, never double-books, moves appointments safely, and shows every booking in the Spoto app. It is built in Baghdad and set up with you in three steps.
- Iraqi dialect first, on Iraqi time, so patients feel they called a local clinic.
- Real bookings on the call, per doctor, following every rule in your schedule.
- No double booking, ever: free times are read live on each call.
- Safe changes: a move books the new time before it releases the old one.
- The front desk sees everything, live, with who booked what.
- Owner control: switch answering or bookings on and off with one tap.
- Private by design: calls are not recorded, patient data is never sold, and notifications never show a patient's name or number.
